Position Concept: Perform clerical work and maintain files and electronic data for Mental Health Overlay Services (MHOS) and Substance Abuse Overlay Services (SAOS). Processes eligibility, and prepares billing materials. Provide clerical assistance to the clinical, education, medical and program staff. Work with minimal instruction or supervision. Essential Functions: Prepare and distribute a variety of letters, memos, forms, evaluations, and reports. May draft correspondense, memoranda, etc. for supervisor's signature. Provide clerical support to assigned program staff; maintain calendar for work group; prepare and/or distribute schedules and paperwork necessary for program staff to provide appropriate services Prepare and submit SPEP data into the JJIS system. Prepare and submit for billing all services provided under MHOS/SAOS. Conduct intake and exit/assesments as applicable. Assist Case Managers and clinical department during intake process. Track and file all weekly progress notes and enter into the MHOS/SAOS Daily Service Report. Enter all Formal Treatment dates MTP's, Brief's, Bio's, Med. Mgn., Pshchiatric evaluations into Billing document and forward to Clearwater and director by 16th of each month. Establish and maintain official client-related documents and records in appropriate files; Sort and file appropriate documents, and perform routine audits of files for completeness and accuracy of information; close out files at appropriate timeline based on youth exit from program As assigned by the supervisor, complete regularly recurring reports, standard form letters and memos, and maintain records. Maintain follow-up system on reports to create and distribute reports requiring a action on a priodic basis (certification/re-certification, target population, substance abuse, outcome studies, etc.) Maintain knowledge of current local and state agency standards, and of ECKERD policies Update youth information as required in appropriate databases (to include, but not limited to TIER, JJIS, RSMS, or similar information systems) Type letters for groups making necessary copies and mailing out to parents, JPO, and Judges. Serve as liason, where necessary, for state and local agencies. Job Requirements Education - High school diploma or equivalent required. Experience - Six months general office experince required. Through knowledge of modern office practices and procedures, and the use of office machines and equipment required. Skills - Working knowledge of word processing, spreadsheet, and email software (Microsoft Office and Outlook strongly preferred); ability to type proficiently; ability to set up and maintain filing systems; ability to learn quickly, and work independently; effective verbal and written communication skills; ability to interact effectively with diverse group of clients, and staff; maintain working knowledge of policies and practices; ability to take sufficient notes; customer service orientation; ability to multi-task effectively; strong organizational skills, with ability to meet deadlines. Physical Demands - Must be in good physical health and emotionally stable. Must be able to move about the property. Must be able to participate in youth activities. Must be able to transport youth or staff. Must be free of communicable diseases as defined by the state and to the extent that data is attainable under the law. Must be able to pass PAR evaluation of physical techniques and written certification exam. Other - Must maintain an appropriate and valid state driver's license.
